5 ways to reply faster to WhatsApp leads

· Naveen Goyal

When someone sends your business an enquiry, they are usually asking two or three other businesses at the same time. Whoever replies first, clearly and politely, has the best chance of winning the job.

Here are five habits that help — you can start all of them today.

1. Keep every enquiry in one place

Enquiries scattered across the website inbox, WhatsApp, Instagram and your call log are easy to miss. Pick one place where every new lead goes, and check it at fixed times of the day.

2. Save replies for your most common questions

Most enquiries ask the same things: price, availability, location. Write a good answer for each once, in the languages your customers use, and save them as WhatsApp Business quick replies.

3. Reply first, details later

A quick "Thank you! I'm on a job right now and will call you by 4 pm" keeps the customer with you. A perfect reply three hours later often doesn't.

4. Always end with a next step

Don't just answer the question — suggest what happens next: "Shall I book you for tomorrow at 11?" A clear next step turns an enquiry into a booking.

5. Follow up once

Many customers simply forget to reply. One polite follow-up the next day wins back more work than most businesses expect.

Maa One is being built to make all five automatic: one inbox for every lead, AI that drafts the reply in Hindi, Punjabi or English, and reminders to follow up. Join the waitlist to try it first.
